choice.hosting services

For customers of choice.hosting, your site content, nightly backups, call recordings and form submission logs collected under the Measured WordPress plan are processed to provide the hosting and measurement service you ordered, as described in our terms of service. We retain them on the schedules set out under How long we keep your data below, and we do not sell them.

Who we are

Choice Online Marketing Group, Inc. ("Choice OMG", "we", "us") operates choice.hosting. We are based at 8739 53 Ave NW, Edmonton, AB T6E 5E9, Canada. Peter Jaffray is the designated Privacy Officer.

Information we collect

Information you provide

When you submit the contact or order form we collect your name, email address, message, business name, site address and, optionally, phone number. We use this to reply to your inquiry and, if you order, to set up and bill your hosting.

Server logs

The server hosting this site keeps standard web server access logs: your IP address, browser user agent, the URL requested and the time of the request. These logs exist to operate and secure the site and are kept for the period described under How long we keep your data below.

Cookies and third-party services

choice.hosting does not run analytics or advertising cookies, a tag manager, or any visitor tracking pixel. The one third-party service on our pages is Cloudflare Turnstile, which runs on the contact and order form to tell a human visitor from a bot. Turnstile processes your IP address and basic browser signals for that check and sets no tracking cookie. We do not share your information with advertising platforms and we do not sell personal information.

How we use your information

• Respond to inquiries and orders. Replying to the contact and order form and setting up the hosting plan you requested. Legal basis: your consent and, once you order, performance of contract.
• Provide the hosting service. Operating your site, running backups, and, for the Measured WordPress plan, the call recording and form log measurement described above. Legal basis: performance of contract.
• Protect against abuse. Bot detection on the order form (Cloudflare Turnstile) and log review to secure the hosting infrastructure. Legal basis: legitimate interest in operating a usable, secure site.
• Comply with legal obligations. Tax retention, breach notification, and lawful requests.

Who else sees your information

We share data with the following processors, each bound by a data processing agreement consistent with PIPEDA (the Personal Information Protection and Electronic Documents Act) and, where applicable, Alberta's Personal Information Protection Act (PIPA).

Cloudflare (Turnstile bot protection). IP address and browser characteristics during a form submission. Operates on global edge infrastructure.

Amazon Web Services. Hosting infrastructure, nightly backup storage, and, for customers on the Measured WordPress plan, call recording storage and transcription. Operates in Canada and the United States.

Twilio. Call audio and call metadata for customers on the Measured WordPress plan who use call tracking. Operates in the United States and on global infrastructure.

Choice OMG infrastructure (Postgres database). Contact and order form submissions. Hosted on Choice OMG infrastructure in Edmonton, Alberta.

How long we keep your data

• Contact and order form submissions: 24 months from collection unless you ask us to delete them sooner.
• Web server access logs: rotated daily, with the last three days kept on the server.
• Site content and nightly backups: for the duration of your hosting plan; a 30-day export window after cancellation as described in our terms of service, then deleted.
• Call recordings (Measured WordPress): 30 days by default, up to 1 year where operationally needed, and longer only when tied to an incident, claim, or legal hold.
• Client account and billing records: duration of the engagement plus 7 years for tax and legal compliance.

Your rights

Under PIPEDA and Alberta's Personal Information Protection Act (PIPA), you have the right to access the personal information we hold about you, request correction of inaccurate information, request deletion of your data where no legal obligation requires us to retain it, withdraw consent to processing where consent is the legal basis, and make a complaint to the Office of the Information and Privacy Commissioner of Alberta or the Office of the Privacy Commissioner of Canada.

To exercise these rights, email privacy@choice.marketing, use our data deletion request form, or call 1-877-930-0955. That form and both mailboxes above are shared corporate infrastructure operated by Choice OMG across its web properties, including choice.hosting, so one request channel covers this site too. We respond within 30 days under PIPEDA and within 45 days under Alberta PIPA. We may verify your identity using the minimum information needed to do so.

Children's privacy

This site is intended for adult business users. We do not knowingly collect personal information from anyone under 16 years of age. If you believe a minor has submitted personal information through our site, contact privacy@choice.marketing and we will delete it promptly.

Security

All data transmission uses HTTPS with modern cipher suites. Access to personal data within our systems is restricted to team members who require it to perform their role and is logged.

Suspected vulnerabilities can be reported to privacy@choice.marketing with the subject line "Security Disclosure". We acknowledge reports within two business days.

Data breach notification

If we become aware of a breach of personal information that creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required by PIPEDA. We maintain an internal record of all breaches in line with PIPEDA's record-keeping requirement, regardless of the notification threshold.

Third-party links

Our site contains links to third-party sites operated by other organizations, including choice.marketing. This Privacy Policy does not apply to those sites; consult each site's own policy.

Alberta residents: PIPA disclosures

Choice OMG operates from Edmonton, Alberta. Our handling of the personal information of Alberta residents is governed by Alberta's Personal Information Protection Act (PIPA). We collect, use, and disclose personal information only for purposes that a reasonable person would consider appropriate in the circumstances, and with your consent where PIPA requires it. The categories of personal information we collect, our purposes for collecting them, our recipients, and our retention periods are described above.

To exercise your PIPA rights (access, correction, and deletion), email privacy@choice.marketing or use our data deletion request form. We respond within 45 days, and will tell you if we need the limited extension PIPA permits. We do not charge a fee for routine access requests; if a request would involve significant cost we will give you a written estimate before proceeding, as PIPA allows. If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner of Alberta (OIPC) at oipc.ab.ca.

Changes to this policy

We may update this policy as choice.hosting evolves or as legal requirements change. We will not apply changes retroactively to data collected under prior policy terms without your consent.
